Opportunity Description
POSITION OVERVIEW
We’re seeking an HR Operations Coordinator with a focus on recruiting, onboarding and offboarding, payroll processing, training, and administration coordination. This position ensures that employees are supported and well informed through timely HR communications. This role is also responsible for keeping our HR systems and processes running smoothly reflecting accurate information. The HR Operations Coordinator role is ideal for someone with an HR background, who’s organized, detailed oriented, takes initiative, and thrives in a collaborative work environment.
ESSENTIAL DUTIES
Recruiting & Pre-boarding
Collaborate with hiring managers to fill vacant positions by posting job openings, managing ATS, screen resumes, coordinate and conduct interviews, and communicate with candidates.
Manage the pre-boarding process by drafting and sending offer letters, engage with the onboarding team and hiring managers to coordinate IT needs, background investigations, and reference checks.
Onboarding & Offboarding
Support the onboarding process by preparing, coordinating, and communicating with new hires, hiring managers, and the onboarding team.
Responsible for the offboarding process including exit interviews, offboarding forms, and system updates.
Enhance the onboarding and offboarding processes to ensure a seamless experience for all parties involved.
Payroll, Benefits, & Vendor Coordination
Collaborate with the payroll vendor to process payroll timely and twice a month.
Coordinate with Finance and/or external HR vendors to ensure invoices have been paid timely.
Assist with benefits enrollment, changes, and terminations.
Reconcile HR related invoices monthly as well as identify and resolve discrepancies timely.
Training & Development
Assist with managing companywide training by assigning training courses through our HRIS.
Send training status reports to managers and/or department heads to ensure all trainings are 100% complete by the due date.
Draft a companywide training calendar reflecting annual regulatory and SOP trainings.
Culture & Engagement
Propose culture building initiatives and employee engagement efforts.
Assist with planning internal events, employee surveys, and processing spot bonuses upon request.
Support employees during events such as new births, adoptions, and/or passing of loved ones by ordering flowers or purchasing food.
HR Administration & Compliance
Maintain employee records in HRIS and make necessary updates.
Support internal audits by gathering various HR documents.
Internal Communication
Draft companywide HR messages and other HR-related announcements.
Review and update internal HR templates to reflect new company name and organizational changes.
Maintain and update companywide org chart.
Support annual open enrollment and benefits communications.
Provide timely responses to employee inquires.
Other Duties
Performs other related duties as assigned by management.
SUPERVISORY RESPONSIBILITIES
There are no supervisory responsibilities for this role.
EDUCATION AND KNOWLEDGE
Bachelor's degree in Human Resources, Business Administration, or a related field.
At least 3 years of experience in HR support role, recruiting coordination, or office administration. Prior experience processing payroll is preferred.
Experienced with HRIS systems and Microsoft Office.
Strong attention to detail and ability to manage multiple priorities in a fast paced environment.

TRAVEL
This role may require 20% travel (advanced notice will be given).
