The Executive Assistant provides administrative and operational support to the Chief
Operations Officer (COO).
Role Responsibilities:
Administrative (60%)
Manage a busy and ever-changing calendar for the COO
Prepare a weekly priorities list and daily call sheets to be provided at the beginning of
each day
Arrange domestic travel, including airline, hotel, and car service reservations
Screen, categorize and respond to emails appropriately
Take notes (and send follow-ups) in key meetings for the COO to review and reference
Coordinate conference rooms and meal arrangements for internal and external
meetings
Draft, edit and review correspondence, meeting materials, and presentations
Develop relationships with leadership team contacts and gain recognition as a team
resource
Assist with personal duties, as needed
Tactical & Strategic (40%)
Assist the COO in the development of presentations and documents for internal and
external audiences
Determine priority of matters of attention for the COO; redirect matters to staff to
handle, or handle matters personally, as appropriate
Keep the COO advised of time-sensitive and priority issues, ensuring appropriate
follow-up
Assist the Ops Leadership Team with special projects and tasks including but not
limited to:
-Preparation and memorization of weekly Operations Meetings
Manage and follow up on organizational development and trainings
Plan team gatherings and Company volunteer events to support overall Company
culture and employee engagement
Create ways to celebrate key milestones for the Team
